Provincia Oy is an in-house company that provides HR and financial management services to municipal and public-sector organizations. Today, Provincia has consolidated all its operations under Koho. Previously, they used multiple standalone systems simultaneously.
According to Erola, “Implementing Koho has given us several advantages. For instance, we didn’t have a comprehensive time-allocation system before. Now we can see exactly which tasks take up our work hours, allowing us to direct our internal efforts more effectively.”
We’ve been able to stop using separate systems and combine multiple functions into a single software. This new way of working has increased efficiency and added transparency and clarity to our operations. Plus, Koho provides great data to support supervisors, changing our leadership approach. It gives us a lot of insight into how work hours are spent and how many inquiries we receive from clients.

Hanna notes that Koho’s reports and target metrics are especially useful for ticketing and following up on service-level agreements. Time tracking, particularly for flex-time balances and overtime, is also widely utilized at Provincia.

Provincia gives a big plus for Koho’s customization and solution-oriented approach
Päivärinta says Koho’s customization options are very important to Provincia, as they help tailor the software to the company’s specific needs. Erola and Päivärinta also emphasize that working with Koho has been beneficial from the start: Koho’s representatives have consistently responded to Provincia’s requests and challenges also on a tight schedule.
“Koho’s speed in moving things forward has exceeded our expectations. When we have a well-defined development request or an issue in use, they react quickly. They find a suitable solution or solution options fast, and those are then implemented without delay. Often, they proactively roll out fixes on their own as well. Collaboration has been very smooth”, states Päivärinta.
Both Erola and Päivärinta feel Koho is strongly focused on solutions:
“Any problems or technical issues are addressed right away, we get quick responses, and they really tackle the issues. In addition to Koho’s smooth collaboration, their communication style is also understandable – even for non-tech people”, Päivärinta rejoices.
A smooth, phased transition
.Koho aims to make purchasing and onboarding as simple as possible.
“In our case, because I already knew Koho, our purchase decision basically took just one phone call, and things moved ahead from there. Koho gave us a solid product demo so we could see how it works in practice. We’ve rolled it out gradually, managing much of the process internally”, states Erola.
Provincia’s team has mostly welcomed the new software warmly, recognizing that Koho is a modern solution, and some employees already had previous experience with it. The ease of time tracking, in particular, has received positive feedback.

Provincia reaps the benefits of centralized management — especially in invoicing and quotes
Provincia currently uses Koho for hourly invoicing, and later this year, they plan to expand into contract and transaction-based invoicing as well.
Thanks to Koho’s hourly invoicing solutions, we’ve eliminated manual steps such as processing hours by hand. When a quote converts to a sale, we can create a related contract and project in Koho immediately, which also reduces the risk of errors”, tells Erola.
